We welcome your registration for the Society for Mental Health Research Conference 2025.  It is important to read all the information on the website before you commence. Please note all prices quoted are in Australian dollars (AU$) and are inclusive of goods and services tax (GST). 

INSTRUCTIONS FOR REGISTRATION

  • All information should be typed in upper and lower case (eg John Smith)

5th Scientific Meeting of the Mental Health Australian General Clinical Trials Network (MAGNET)

This pre-conference meeting is inclusive for SMHR Conference delegates. Places at this workshop are strictly limited so we recommend booking early to avoid disappointment.

EMCR Pre-Conference Workshop: Diverse Pathways to Success in Mental Health Research

This pre-conference meeting is inclusive for SMHR Conference delegates. Full details of this workshop can be found on the Conference website.

ACCOMMODATION


As we are now within 30 days of the Conference, all accommodation requests are subject to availability. If you wish to request an accommodation booking, please email the Conference Office.

PLEASE NOTE:

  • A valid credit card number must be provided to secure your booking. The card detailed will be shared with the hotel as a guarantee of your booking. 
  • You are responsible for settling your room and incidental expenses direct with the hotel.   
  • Please note the terms and conditions for cancellation (or reduction by one or more nights) or no-shows for each hotel when considering your options. If applicable, it is noted in the terms and conditions below if a hotel requires a one night’s deposit paid in advance; if so, this will charged to your nominated credit card.
  • Accommodation is held from Monday 17 November to Saturday 22 November 2025. If you require dates outside of this period, please contact the Conference Office.


DEADLINES
The hotels impose strict release dates of 30 days prior to arrival, so any bookings made after Friday 17 October 2025 will be subject to availability.

CHANGE OF BOOKING
To make a subsequent change or to cancel your booking, notification must be made via email to the Conference Office.  Verbal changes or cancellations cannot be accepted nor will the hotels accept any changes direct.

Terms and Conditions

When registering online, you are asked to consider and agree to the following terms and conditions:

VOLUNTARY CANCELLATION

Should you decide to cancel your registration, the following refunds will apply from the date of receipt of notification: 

  • On or before Tuesday 19 August 2025: 100% refund less an administration fee of $110
  • On or before Friday 19 September 2025: 75% refund less an administration fee of $110   
  • On or before Friday 17 October 2025: 50% refund less an administration fee of $110  
  • After Friday 17 October 2025: No refund available

Refunds will be returned by the same payment method as the original receipt of funds. 

No refund will be made after Friday 17 October 2025, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly. 

Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event. 

Optional social event tickets may be cancelled on or before Friday 17 October 2025 and will be refunded in full by the same payment method as the original receipt of funds. After Friday 17 October 2025 no refunds will be made, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.

If accommodation has been secured through the Conference website, please refer to the individual cancellation terms and conditions for each individual hotel. 

In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered by and at the discretion of the Organising Committee upon application.

If the Conference converts to a hybrid format in-person to virtual or virtual to in-person registrations, may be permitted and will be processed on a case-by-case basis following application to the Conference Office.

CONFERENCE CANCELLATION OR POSTPONEMENT
Society for Mental Health Research may cancel or postpone the Conference due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event to a later year and/or to change the location for the Conference.

In the event the Conference is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration. If you choose not to attend the virtual Conference, the Society for Mental Health Research will not be required to refund any part of the Conference registration fee.

In the event of postponement of the Conference, if, when requested, you advise that you are willing to attend the rescheduled Conference, Society for Mental Health Research will transfer the registration and guarantee the same conditions and equivalent registration entitlements (subject to reasonable modification and availability) at the rescheduled event. If, at a later date, you then choose not to attend the rescheduled Conference, the Society for Mental Health Research will not be required to refund any part of the Conference registration fee. 

In the event of a full cancellation of the Conference by the Society for Mental Health Research, you will be entitled to a full refund of the amount of the Conference registration fee received.

The maximum liability of the Society for Mental Health Research under these Terms and Conditions is limited to a refund of the Conference registration fee with no additional liability for travel costs, hotel costs, or any other associated costs.

DELEGATE CANCELLATION - MEDICAL 
If, on medical grounds, you are unable to attend the Conference, you must cancel your attendance in writing by email to smhrconference@wsm.com.au. A virtual registration (if available) will may be offered, with any difference in price refunded. A full refund may be provided at the discretion of the Society for Mental Health Research, however you may be asked to provide additional details.

INSURANCE
Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. Society for Mental Health Research and the Conference Office accept no responsibility for any loss in this regard. 

DISCLAIMER
By registering, you acknowledge and consent that during your attendance at the Conference your image or voice may be recorded via video, photography or by any other means by an officer or official of the Conference, which may be distributed or published at the discretion of the Conference. If you do not wish to be recorded, you are required to formally advise the Conference Office in advance by email.
